E-commerce Fulfilment in Belfast: A Guide for Small Online Brands

E-commerce fulfilment is the work between a customer placing an order and their parcel leaving for delivery: storing stock, picking products, packing them and arranging dispatch. For a small online brand in Belfast or elsewhere in Northern Ireland, a local fulfilment partner can take that work off your hands without putting your stock out of reach.

What fulfilment actually includes

Running a shop means more than printing postage labels. Someone needs to receive deliveries, check quantities, put products somewhere sensible and make sure the right item goes into each parcel. After dispatch, there are tracking questions, returned items and stock records to keep straight.

A third-party logistics provider, usually shortened to 3PL, handles agreed parts of that process for you. You still own the products and run the brand; your fulfilment provider looks after the physical orders.

I’m Nathan McClintock, founder of Pack & Post NI in Belfast. Before this, I worked as a courier driver with Evri and DHL Express. My approach is practical: get the stock organised, make the packing instructions clear and choose delivery services around the parcel rather than guesswork.

If the terminology is new, start with what a 3PL does.

Why keeping fulfilment local can help

Having stock in Belfast makes it easier to stay involved when you need to. You can discuss a packaging change, arrange a stock visit or agree a local handover without planning a journey across the water.

Same-day stock drop-offs can be useful when a supplier delivery arrives late or a product sells faster than expected. They need arranging first: a same-day drop-off is not automatically a promise of same-day checking, booking-in or dispatch. Agree the receiving arrangements before loading the car.

For example, a Bangor accessories brand might keep its main stock with a Belfast fulfilment provider and bring in a small replenishment delivery before a promotion. The important detail is confirming when those items will become available for orders, not simply when they reach the door.

Local knowledge also helps with everyday courier decisions. A provider should understand the collection arrangements available at its premises and explain which services suit your parcels. Pack & Post NI uses Royal Mail, Evri and DPD, with shipping to Northern Ireland, Great Britain and the Republic of Ireland.

That position is useful for brands selling across those destinations, but it does not remove destination-specific requirements. Check the product, delivery address, chosen service and any current documentation requirements before promising a delivery option. My NI, GB and Ireland shipping guide covers the questions to ask.

How the process works, step by step

1. Describe the shop and its orders

Start with your product list, typical order contents, sales channels and destinations. Include awkward details: glass containers, products with expiry dates, similar-looking variants or gift messages.

An honest picture is more useful than a headline order total. A clothing shop with several sizes needs a different picking layout from a brand selling one boxed product.

2. Agree the scope and charges

Decide who supplies stock information, how orders arrive, which packaging is used and who answers customer messages. Confirm the process for cancellations, address changes and orders that cannot be fulfilled.

The how it works page is a starting point, but your own product requirements still need discussing.

3. Send properly identified stock

Provide a delivery list showing each product, variant and quantity. Give every distinct item a clear SKU, meaning a unique stock reference.

For a Belfast stationery brand, an A5 dotted notebook and an A5 lined notebook should not share a reference just because the covers match. Label cartons clearly so a receiving check does not depend on opening every individual product.

4. Receive, check and store

Stock needs checking against the delivery information before it becomes available to sell. Agree how shortages, damage and unidentified products will be reported.

Storage should make picking straightforward. Fast sellers need accessible locations, while easily confused variants need obvious separation. Ask how stock adjustments are recorded and how you can review available quantities.

5. Pick, pack and dispatch

An order becomes a picking instruction. The correct products are selected, checked and packed, then labelled for the chosen courier service.

Agree packing rules in advance. A skincare brand might need protective packing around a bottle, while a clothing brand might prefer a compact mailer. Promotional inserts should have clear instructions too, particularly when only certain orders qualify.

6. Deal with the exceptions

Returns, failed deliveries and stock discrepancies need a process, not an improvised conversation each time. Decide what should happen when a returned item is unopened, damaged or missing its packaging.

Keep customer decisions separate from physical handling. Your provider can report the condition of a return, but you should agree who authorises a refund or replacement.

What fulfilment costs at Pack & Post NI

The useful comparison is your full order cost, not just the picking fee. Storage, receiving, courier labels and optional extras all belong in the calculation.

All prices below are excluding VAT.

Part of the servicePack & Post NI rateWhat to budget for
Pick and pack£2.00 per orderBox or mailer included
Extra items25p per extra itemAdded when an order contains more than one item
Storage£8 per shelf per monthShelf space required by your stock
Goods in£15 per deliveryIncoming stock deliveries
Courier labelsDiscounted courier rate + 50pDepends on the service and parcel
Returns£1.50 per itemPhysical returns handling

Onboarding£150 one-offInitial setup

There is no subscription and no minimums. That does not mean every order costs the same: the number of items, courier service and optional handling still matter.

For a straightforward single-item order, start with the £2.00 pick-and-pack charge, then add the discounted courier rate plus 50p. Allow separately for storage, incoming deliveries and any extras relevant to your shop. The pricing page sets out the rates, and the fulfilment cost guide helps you think through the wider comparison.

Who local fulfilment suits

Local fulfilment can suit a solo founder whose evenings disappear into packing, a growing brand running out of storage, or a shop needing more consistent dispatch arrangements during busy periods.

Consider a Lisburn clothing seller who wants to spend launch days answering sizing questions rather than searching through boxes. Outsourcing may help, provided the size references and stock records are dependable.

It is not automatically the right move for every business. If you make each order individually or need to approve every finished product, keeping some work in-house may be sensible. Explain that workflow before asking for a quote.

What to prepare before asking for a quote

Send a short product list, approximate stock quantities, parcel dimensions and an example of a normal order. Add your delivery destinations and explain any seasonal peaks or planned launches.

Include photographs if the packaging is hard to describe. Note which parts of your current process cause problems, whether that is storage, missed collections or too much time spent packing.

Use those details to request a fulfilment quote. A quote grounded in actual products and orders is much more useful than comparing isolated headline fees.

FAQ

Can I drop stock off in Belfast myself?

Ask about an agreed receiving time and provide a delivery list before arriving. Local drop-offs can be convenient, but stock still needs checking and booking in before it is ready for orders.

Do I need a minimum number of orders?

Pack & Post NI has no minimums and no subscription. You should still budget for the applicable onboarding, storage, goods-in and order-handling charges, as well as courier labels. All quoted rates are excluding VAT.

Can one Belfast stock holding serve NI, GB and ROI customers?

Pack & Post NI ships to all three destinations. The appropriate service and any information needed depend on the goods and destination, so discuss your actual product range rather than assuming every order follows the same process.

What should I ask before moving stock?

Confirm receiving arrangements, packing instructions, stock reporting, dispatch cut-offs and returns handling. Ask how exceptions reach you and who makes decisions when something goes wrong. There are more general answers on the FAQ page.
